07. Subscription Renewal

7.1 Account Management & Subscription Access #

Private Class programs at SpanishVIP do not operate through a public student portal or self-managed account system.

Students do not have direct access to a personal dashboard to manage their subscription status. All subscription-related matters — including renewals, pauses, extensions, or plan changes — are managed internally by the Student Success Team.

Students may contact support@spanishvip.com at any time to:

  • Confirm their subscription status
  • Verify renewal dates
  • Request changes to their plan
  • Ask questions about billing or validity

7.2 Subscription Validity Period #

All Private Class subscriptions are governed by a calendar-based validity period, not by the number of classes attended.

The subscription period begins on the date of the student’s first class, not on the purchase date.

Standard validity periods are:

  • 1-Month Plan: 30 calendar days
  • 3-Month Plan: 90 calendar days
  • 6-Month Plan: 180 calendar days

If a student does not use all scheduled classes within the active subscription period, any unused classes expire automatically at the end of the validity period.

Please be aware that the classes:

  • Are non-transferable
  • Cannot be saved for future subscriptions
  • Cannot be reassigned to another student
  • Have no cash value

7.3 Renewal Date Determination #

The renewal date is determined based on the student’s first class date, not the purchase date.

A student’s renewal date may be adjusted only under specific circumstances.

Subscription extensions may apply in cases such as: #

  • Approved Official Pauses
  • Teachers’ vacations and days off 
  • Operational interruptions attributable to SpanishVIP

The following situations do NOT extend the subscription: #

  • Student-initiated cancellations
  • No-Shows
  • Rescheduling requests
  • Temporary Breaks
  • Short absences (under two weeks)
  • Pre-announced official holidays

Official holidays are established as part of SpanishVIP’s annual academic calendar and do not generate extensions or make-up sessions.

7.4 Renewal Process #

For new students, the first renewal is confirmed by email. Prior to the end of the initial subscription period, a Student Success Advisor will contact the student to:

  • Conduct a check-in regarding their experience
  • Confirm whether they wish to renew
  • Review plan options if applicable

Once the first renewal has been confirmed, the subscription is typically set to automatic renewal under the same plan and duration, unless the student requests otherwise.

Students may request:

  • To be contacted prior to each renewal
  • To modify their plan before renewal
  • To cancel automatic renewal

All renewal-related changes must be communicated to support@spanishvip.com before the next billing date.

7.5 Exceptional Cases #

In rare and exceptional circumstances, SpanishVIP may evaluate subscription extensions for situations such as:

  • Serious medical conditions
  • Major family emergencies
  • Circumstances beyond the student’s control
  • Operational errors attributable to SpanishVIP

All exceptional extension requests are reviewed on a case-by-case basis by the Student Success Manager. Supporting documentation may be required.

Approval of an extension is not guaranteed, and extensions are not a contractual right.

7.6 Switching plans #

Students are not required to remain on the same subscription plan upon renewal. At the end of any subscription period, students are free to:

  • Upgrade to a longer-term plan
  • Switch to a shorter-term plan
  • Increase or decrease the number of weekly lessons (Standard or Plus)
  • Transition from Private Classes to Group Classes, or vice versa

Students who wish to modify their plan must contact support@spanishvip.com before their renewal date to review available options. The Student Success Team will provide guidance on alternative plans, adjusted lesson frequencies, or customized arrangements when applicable.

Plan changes take effect at the beginning of the new subscription period and are subject to availability and current pricing.
