02. Class Rescheduling Policy

2.1 General Policy on Rescheduling #

SpanishVIP does not guarantee or endorse class rescheduling when a class is canceled or missed by the student. If a student does not attend a scheduled class or cancels it, the student forfeits the right to that lesson.

Rescheduling when a class is canceled/missed is not a contractual right and cannot be demanded by the student. Any rescheduled class offered to a student is considered a courtesy.

Teachers are never required to reschedule a class canceled or missed by a student. As a company, SpanishVIP allows rescheduling only at the teacher’s discretion, based on availability and individual criteria. 

2.2 Courtesy Rescheduling Guidelines #

Although rescheduling is not guaranteed, teachers may choose to offer a replacement class as a courtesy. Based on experience, teachers are more likely to consider rescheduling when all of the following conditions are met:

  • The student notifies the teacher at least 24 hours in advance
  • The request is occasional, typically not exceeding two (2) rescheduling requests per calendar month
  • The reason provided is reasonable and communicated clearly

Meeting these conditions does not create an obligation for the teacher to approve a reschedule. Final approval always remains at the teacher’s discretion.

2.3 Examples of Reasons That May Be Considered #

The following examples are provided for reference only and do not guarantee approval:

  • Personal emergencies
  • Illness
  • Work-related conflicts
  • Family-related commitments
  • Medical appointments
  • Significant technical issues outside the student’s control

2.4 Reasons Commonly Not Considered #

The following reasons are generally not considered grounds for rescheduling:

  • Forgetting the class
  • Poor planning or scheduling oversight
  • Recurring internet or device issues
  • Unjustified last-minute changes
  • Informing only the teacher without making a formal request

2.5 How to Request a Courtesy Reschedule #

Rescheduling requests must be communicated directly to the assigned teacher. Teachers may approve or decline the request and, if approved, may offer alternative dates or times based on their availability. If no suitable alternative is available or offered, the class is forfeited.

The Student Success Team (support@spanishvip.com) does not process standard rescheduling requests unless they are part of a broader case, such as teacher replacement or extended teacher absence.
