SpanishVIP distinguishes clearly between student-initiated cancellations and teacher-initiated cancellations, as each follows a different process.
3.1 Student-Initiated Cancellations #
When a student cancels a scheduled private class or does not attend, the class is considered forfeited. Student-initiated cancellations are not eligible for rescheduling, subscription extensions, or refunds.
SpanishVIP does not apply penalties for cancellations. However, students are expected to respect their teacher’s time by notifying them in advance whenever possible. This allows teachers to manage their schedule appropriately and avoids unnecessary waiting.
While emergencies and last-minute situations may occur, repeated late cancellations are discouraged. Notifying the teacher in advance is considered a professional courtesy and part of maintaining a respectful learning environment.
Subscriptions are never extended due to classes canceled or missed by the student. However, under teacher’s discretion rescheduling may take place, in accordance with SpanishVIP’s Rescheduling Policy.
3.2 Teacher-Initiated Cancellations #
Teacher-initiated cancellations never result in lost classes for the student. When a class is canceled by the assigned teacher it must be rescheduled.
- For isolated or one-day cancellations, the teacher coordinates the rescheduled class directly with the student.
- For extended or multi-day absences (such as illness, personal leave, days off, or vacation), SpanishVIP will extend the student’s subscription by one business day per canceled class.
SpanishVIP makes every reasonable effort to ensure that private classes are delivered consistently and to minimize teacher-initiated cancellations. All teacher absences or cancellations are monitored internally and are generally subject to prior approval by the management team.
If a student believes that their assigned teacher is canceling classes repeatedly or for an extended period outside of scheduled vacations, they are encouraged to contact the Student Success Team at support@spanishvip.com. SpanishVIP will review the situation internally and, when necessary, take appropriate action, including teacher reassignment, in order to protect the student’s learning continuity and overall experience.
3.3 Clarifying Cancellations, Rescheduling, and No-Shows #
To avoid confusion, SpanishVIP defines the following terms:
Cancellation #
The student informs the teacher that they cannot attend a scheduled class. The class is forfeited. No rescheduling or subscription extension applies.
Rescheduling #
The student requests a new time for a class.
Approval is entirely at the teacher’s discretion and is not guaranteed.
(See Rescheduling Policy.)
No-Show #
The student does not attend the class and provides no notice.
No-shows are never rescheduled, refunded, or extended.
(Details are outlined in the No-Show Policy.)
