01. Class Scheduling

1.1 How does class scheduling work? #

At SpanishVIP, private classes follow a structured and personalized scheduling model designed to ensure consistency. Private classes are not self-booked or managed manually by students. Instead, each student is assigned a dedicated teacher based on their student profile, learning goals, level, preferences, and availability. Once assigned, the same teacher accompanies the student throughout the program.

Classes follow a fixed, recurring weekly schedule that is agreed upon in advance. This schedule remains consistent to support steady progress and a strong teacher-student relationship.

Private classes are held Monday through Friday within SpanishVIP’s operating hours of 7:00 am to 7:00 pm (Colombian Time). The standard class duration is one hour and the number of weekly sessions is determined by the student’s selected plan. 

Once confirmed, both the teacher and schedule remain the same unless the student formally requests a change through the official process.

1.2 How Is My Regular Schedule Selected? #

SpanishVIP offers students flexibility when selecting their class times within our operating hours of 7:00 am to 7:00 pm (Colombian Time). During the onboarding process, students are asked to indicate the time slots that best fit their availability in order to establish a regular, consistent schedule. Since private classes are designed to take place at the same time for each session, students are required to provide a minimum of two or more consistent weekly time slots that can be used to set this recurring schedule and begin the teacher matching process.

Once the schedule is confirmed, it becomes the student’s regular class schedule and remains the same throughout the subscription, unless they formally request a change through the official process.

Note: Teachers operate on structured schedules managed by the Student Success Team, and students do not have access to internal teacher calendars. If a student requests a class time outside of SpanishVIP’s operating hours, the request may be reviewed internally; however, approval is not guaranteed. Any adjustment or expansion of a teacher’s availability beyond the established operating hours is handled exclusively by the Student Success Team and is subject to approval.

1.3 How Do I Get Assigned to My Teacher?  #

After gathering essential information to create the student’s profile and they have an active plan, SpanishVIP initiates the official Perfect Matching System.

This internal process is designed to assign the most suitable teacher to each student by carefully evaluating key factors such as the student’s level, learning goals, preferences, availability, and overall learning profile. 

The matching process may take up to two weeks, depending on current demand and waiting lists. In many cases, the assignment is completed sooner; however, students should consider two weeks as the maximum expected timeframe. During this period, the subscription remains on hold and does not begin.

Once the assignment is finalized:

  • The student receives an official confirmation email from the Student Success Team with details about their assigned teacher and start date.
  • The assigned teacher then contacts the student directly to confirm the first lesson and provides a recurring Zoom link that will be used for every session throughout the subscription.

Students must confirm their first scheduled class by email. Only the first lesson requires confirmation. Subsequent classes do not need to be confirmed individually, as they follow the established recurring schedule using the same Zoom link.

Please note: The subscription officially begins on the date of the first private class, not on the purchase date. The entire Perfect Matching process is managed internally by SpanishVIP at no additional cost to the student.

1.4 Regular Schedule Changes #

SpanishVIP’s private classes are designed to follow a consistent, recurring schedule. For this reason, schedule changes are managed carefully and must follow the official process.

Teachers do not independently modify their schedules. All regular schedule changes must be requested and approved through SpanishVIP. To request a regular schedule change:

  • Students must submit their request by email to support@spanishvip.com.
  • Requests must be made at least two weeks in advance. 
  • Students are expected to maintain their regular schedule for a minimum of one month before requesting a new recurring schedule.

While students may inform their teacher about a potential change, schedule modifications are not considered official until they are reviewed, approved, and confirmed by the Student Success Team.

Additional note: If the requested new schedule is not compatible with the availability of the currently assigned teacher. SpanishVIP may proceed with a teacher reassignment to ensure continuity of the classes at the new requested time.

1.5 Teacher Changes #

At SpanishVIP, student satisfaction and learning quality are a priority. If at any point a student has concerns, feedback, or a request related to their assigned teacher, they are encouraged to communicate it openly.

To request a teacher change, students must contact the Student Success Team by email at support@spanishvip.com, briefly explaining the reason for the request. There is no minimum number of classes required before requesting a teacher change. All requests are reviewed on a case-by-case basis to ensure the best possible learning experience.

If the student’s regular schedule is not immediately available with another suitable teacher, SpanishVIP may offer alternative solutions. These may include:

  • Proposing an alternative time slot.
  • Temporarily placing the subscription on hold while a new assignment is arranged.
  • Continuing lessons with the current teacher while waiting for an opening with another suitable teacher.

All options are evaluated individually, with the goal of maintaining continuity, instructional quality, and overall student satisfaction.
